1. Who we are
Skopy Inspect (the "App") is developed and operated by Mselectrix Pty Ltd (ABN 19 675 669 511, ACN 675 669 511), 4/4 Network Drive, Truganina VIC 3029, Australia ("we", "us", "our"). We are responsible for the personal information collected through the App and its related websites and services.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), Apple's App Store Review Guidelines, and, where they apply to you, other privacy laws such as the EU/UK GDPR.
2. Scope of this policy
This policy applies to everyone who uses Skopy Inspect, including licensed electricians, inspectors and administrators ("Users"). It also covers information about other people that Users enter into the App while carrying out inspections, such as property owners, occupants and customers ("Site Contacts").
Where a business or employer provides you with access to the App, that business may also be responsible for the inspection records it creates. We process those records on its behalf.
3. Information we collect
We collect only what is needed to provide the App's features. The table below lists each category, examples and its purpose.
| Category | Examples | Purpose |
|---|---|---|
| Account & identity | Name, email address, phone number, password (stored as a secure hash by Firebase), sign-in provider ID (e.g. Sign in with Apple, Google) | Creating and securing your account; signing in |
| Professional details | Electrical licence or registration number, business name, ABN, role (electrician/inspector) | Verifying users; showing details on reports and certificates |
| Inspection & job data | Inspection requests, scope, priority, due dates, site addresses, defects, test results, notes, signatures, generated reports, Certificate of Electrical Safety (CES) references | Core inspection workflow and report generation |
| Site Contact details | Customer or occupant names, phone numbers, email addresses and site addresses entered by Users | Arranging and documenting inspections |
| Photos, documents & scans | Defect and installation photos, scanned documents and text extracted by OCR | Recording evidence; filling in fields automatically |
| Audio | Voice recordings you make for voice-to-text notes | Converting speech to written notes (see Section 6) |
| Location (optional) | Approximate or precise location, only while the App is in use and only if you allow it | Confirming a site address and time-stamping inspection evidence |
| Usage & diagnostics | Screens viewed, features used, app version, device model, operating system, crash logs, performance data, an app-instance identifier | Improving reliability and features (see Section 5) |
| Support communications | Messages and emails you send us | Answering questions and resolving issues |
We do not collect payment card details within the App, health information, contacts from your address book, or the advertising identifier (IDFA).
4. How we use information
- To provide, operate and keep up to date the App's features, including offline use and syncing between your devices.
- To create inspection reports, defect lists and compliance documentation you ask for.
- To authenticate you, keep your account secure and prevent fraud or misuse.
- To diagnose crashes, fix bugs and improve performance and usability.
- To respond to support requests and send service messages (for example security alerts or important changes to this policy).
- To meet our legal obligations and enforce our terms.
We use personal information only for the purposes described here or purposes you would reasonably expect. We will ask for your consent before using it for any new, unrelated purpose. We do not use your data for marketing unless you opt in, and you can opt out at any time.
5. Firebase Authentication & Analytics
The App uses Google Firebase, a service provided by Google LLC, to run parts of the App securely and reliably. Google processes this data as our service provider under the Firebase Data Processing and Security Terms.
Firebase Authentication
Used to create and manage your account and sign you in. It processes your email address, phone number (if used), password hash, sign-in provider tokens (e.g. Sign in with Apple), IP address and user ID. If you choose Sign in with Apple and hide your email, we only receive Apple's private relay address.
Google Analytics for Firebase
Used to understand how the App is used in general (for example which features are used most and where users run into problems) so we can improve it. It collects usage events, app-instance IDs, device and OS information, app version, and approximate location derived from IP address (country/city level).
Analytics data is used only to improve the App. It is not used for advertising, is not linked to third-party data for tracking, and is not sold.
Google Signals and advertising features are turned off, and the IDFA is not collected.
We do not send inspection content, Site Contact details, photos or report text to Analytics.
You can turn off analytics at any time in Settings → Privacy → Share Usage Analytics.
Other Firebase services
- Cloud Firestore / Realtime Database – stores and syncs your inspection records.
- Cloud Storage for Firebase – stores photos, scans and generated reports.
- Firebase Crashlytics – collects crash reports and device state to help us fix stability problems.
- Firebase Cloud Messaging – delivers push notifications you have allowed (e.g. new inspection requests).
Read more in Privacy and Security in Firebase and the Google Privacy Policy.
6. AI-assisted features
Skopy Inspect includes optional AI-assisted features, such as voice-to-text, OCR, defect suggestions, standards clause look-up and defect photo analysis. To provide these features, the relevant content (for example a voice clip, a photo or a defect description) may be sent to a third-party AI provider for processing.
We will tell you clearly and ask for your permission before any personal data is first shared with a third-party AI service. You can withdraw that permission in Settings.
Any AI provider we use will be listed in this section before AI-assisted features are enabled. Providers are contractually required to protect the data, use it only to provide the service to us, and not use it to train their general models.
AI suggestions are a guide only. A qualified inspector must review and confirm every defect, clause reference and outcome before it appears in a report.
We do not use your inspection data to train AI models without your separate, express consent.
7. Device permissions
The App asks for the following permissions only when you use a feature that needs them. You can change them at any time in iOS Settings → Skopy Inspect. If you decline, the rest of the App will still work.
- Camera – to take defect and installation photos and scan documents.
- Photo Library – to attach existing photos to an inspection.
- Microphone & Speech Recognition – for voice-to-text notes.
- Location (While Using) – to confirm site location and time-stamp evidence.
- Notifications – to alert you to new or updated inspection requests.
8. Sharing & disclosure
We do not sell, rent or trade your personal information. We share it only in the following situations:
- Service providers – such as Google Firebase (hosting, authentication, analytics, crash reporting) and the AI providers named in Section 6. They process data only on our instructions and must give it the same or equal protection as described in this policy.
- At your direction – when you export, email or share a report, or send records to a regulator or registration body (for example Energy Safe Victoria), or to a customer, builder or employer.
- Your organisation – if your account belongs to a business account, administrators of that account can see the inspection records created under it.
- Legal requirements – where required by law, court order or a regulator, or to protect the rights, property or safety of any person.
- Business transfers – if we are involved in a merger, acquisition or sale of assets, under confidentiality terms. We will notify you before your information becomes subject to a different privacy policy.
9. Tracking & advertising
Skopy Inspect does not track you across apps and websites owned by other companies, does not share data with data brokers, and contains no third-party advertising. Because of this, the App does not show Apple's App Tracking Transparency prompt. If this ever changes, we will update this policy and ask for your permission through that prompt first.
10. Storage, security & overseas transfer
Data is encrypted in transit (TLS) and at rest on Google Cloud infrastructure. Access is limited by Firebase Security Rules and given to authorised personnel only on a need-to-know basis. Offline data is kept in the App's protected storage on your device until it syncs.
Our primary data is stored in Australia (Google Cloud region australia-southeast1). Some service providers, including Google Analytics and AI providers, may process data in other countries such as the United States. Where this happens, we take reasonable steps under APP 8 to make sure the information is protected to a standard comparable to Australian law.
No method of transmission or storage is completely secure. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
11. Data retention
- Account data – kept while your account is active and deleted within 30 days of account deletion.
- Inspection records & reports – kept while your account is active. Compliance records may be kept for longer where electrical safety or record-keeping laws require it, after which they are deleted or de-identified.
- Analytics data – kept for 14 months, then automatically deleted.
- Crash reports – kept for up to 90 days.
- Backups – removed from backups within 30 days of deletion.
12. Your rights & choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct information that is inaccurate, out of date or incomplete.
- Delete your account and personal information (see Section 13).
- Export your data in a portable format (e.g. PDF/CSV reports).
- Withdraw consent for analytics, AI processing, location or notifications at any time, through in-app Settings or iOS Settings.
- Object to or restrict certain processing, and opt out of marketing.
- Complain to us or to a privacy regulator (see Section 16).
To use any of these rights, contact us using the details in Section 16. We will confirm your identity and respond within 30 days, at no cost. Site Contacts whose details were entered by a User may also contact us directly.
13. Account & data deletion
You can delete your account at any time from inside the App:
Settings → Account → Delete Account
This permanently deletes your Firebase Authentication account, profile and associated personal data. Inspection records you created are deleted at the same time, except any we are legally required to keep (Section 11). If you signed in with Apple, we also revoke the Sign in with Apple token.
You can also ask for deletion by emailing servicesmselectrix@gmail.com with the subject "Account Deletion Request" from the email address linked to your account. Deleting the App from your device does not delete your account.
14. Children's privacy
Skopy Inspect is a professional tool for licensed electrical workers and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.
15. Changes to this policy
We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. If the changes are significant, we will notify you in the App or by email before they take effect.
